Terms of Service & Privacy Policy

This document governs the use of Soleilio Field Hub. By creating an account, installing our mobile application, or using our services, you agree to these Terms and acknowledge our Privacy practices under the Malaysian Personal Data Protection Act (PDPA) 2010.
1. B2B Account Structure & WhatsApp Verification
- Organization Admin: The individual who creates the account is the “Organization Admin,” responsible for managing sub-accounts for their field staff.
- Identity Verification: We use WhatsApp numbers as unique secure identifiers. You are responsible for all activity occurring under your organizational account.
- Founding Member Program: Lifetime discounted rates are valid only for active, uninterrupted subscriptions.
2. Data Ownership & Processing (PDPA Compliance)
Soleilio acts as a “Data Processor.” The Client (The Organization) is the “Data Controller.”
- Business Data Ownership: All job reports, photos, and timestamps generated by your staff are the exclusive property of your Organization.
- Information Collection: We collect company details and WhatsApp numbers solely for account management and automated service alerts.
- No Third-Party Sales: We never sell, lease, or trade your business data or employee information to third-party marketing companies.
- Security: All data is encrypted during transmission and stored using industry-standard secure cloud infrastructure.
3. Field Team Monitoring & GPS Consent
- Employer Responsibility: The Organization Admin must obtain explicit consent from staff to monitor location via GPS during work hours for business verification.
- GPS Usage: Tracking is active only during “Clock-In” sessions for service validation and safety.
- Accuracy: We are not liable for location inaccuracies caused by mobile hardware failure or user-disabled settings.
4. Subscription Tiers & 14-Day Free Trial
- 14-Day Trial: No credit card required. If you do not upgrade after 14 days, organizational access will be paused.
- Bucket Pricing: We utilize a bucket system (Starter, Team, Growth, Enterprise). Billing is based on tier, not per-user micro-invoicing.
- Payment Terms: Invoices must be settled within 7 days to ensure uninterrupted service.
5. Trial Expiry, Cancellation & Data Retention
- Trial Expiry: Data is preserved for 30 days post-expiry to allow for late upgrades.
- Permanent Purge: Data from inactive or cancelled accounts is permanently purged 60 days after the service ends.
- Deletion Requests: Only the primary Organization Admin may request a full “Company Wipe.” Field staff cannot delete organizational records.
6. Limitation of Liability
Soleilio provides operational tools “as is.” Our maximum liability is limited to the amount paid for the Service in the 12 months preceding any claim.
7. Governing Law
These Terms are governed by the laws of Malaysia. Disputes are subject to the exclusive jurisdiction of Malaysian courts.
